Role: Executive Assistant to the CEO

Our Client is seeking an experienced, highly organized, and proactive Executive Assistant to the CEO to serve as a trusted partner and right hand to the CEO of a fast-growing AI edtech company transforming K–12 education. This role will be responsible for strategically managing the CEO's time, calendar, travel, communications, and day-to-day logistics, allowing the CEO to remain focused on company growth and strategic priorities.

The ideal candidate will have Minimum 7+ years of executive assistant experience, including experience supporting a founder, high-level investor, or senior executive. The successful candidate will be resourceful, tech-savvy, highly proactive, and comfortable operating in unstructured and rapidly changing environments. Strong judgment, discretion, communication skills, and the ability to anticipate needs without extensive direction are essential for success in this position.

This is an onsite opportunity in New York, NY for an individual who can take ownership of the CEO's schedule and logistics, communicate effectively with internal and external stakeholders, and proactively identify opportunities to improve the CEO's efficiency and effectiveness.

Compensation: $150,000 - $190,000 per year
 

Key Responsibilities
Strategically manage the CEO's complex calendar, including prioritizing meetings, sequencing commitments, and aligning the CEO's time with company goals and priorities.

Serve as a trusted proxy for the CEO in communications with investors, board members, partners, customers, and internal stakeholders.

Coordinate all executive travel logistics, including flights, ground transportation, accommodations, itineraries, and last-minute changes or disruptions.

Proactively identify scheduling conflicts, logistical challenges, and other potential issues and resolve them before they impact the CEO.

Anticipate the CEO's needs and proactively identify creative ways to improve efficiency, eliminate friction, and maximize the use of the CEO's time.

Manage a combination of professional and light personal assistant responsibilities with discretion, sound judgment, and professionalism.

Coordinate appointments, personal logistics, and other administrative needs as required.

Handle last-minute changes and unexpected requests calmly and efficiently in a fast-paced environment.

Maintain clear and professional communication with investors, board members, partners, employees, and other stakeholders on behalf of the CEO.

Support the CEO in maintaining an organized schedule, ensuring priorities are clearly reflected in daily and weekly commitments.

Use technology and AI tools effectively to streamline administrative workflows, improve organization, and increase productivity.

Take ownership of assigned responsibilities and follow through to completion without requiring constant direction or supervision.

Maintain strict confidentiality when handling sensitive business, financial, personal, or executive information.

Adapt quickly to changing priorities and provide flexible support based on the evolving needs of the CEO and organization.

Required Qualifications

Minimum 7 years of experience as an Executive Assistant supporting senior executives, founders, investors, or other high-level leaders.

Demonstrated experience supporting a founder, high-level investor, CEO, or senior executive in a demanding professional environment.

Exceptional calendar management skills, including experience managing complex schedules, competing priorities, and high-volume meeting coordination.

Strong experience managing executive travel logistics, including flights, ground transportation, accommodations, and last-minute changes.

Experience working in a startup, high-growth company, venture capital fund, investment firm, or similarly fast-paced environment.

Strong technology skills and the ability to effectively incorporate AI and modern productivity tools into daily workflows.

Comfort working in an unstructured, rapidly changing environment where priorities can shift quickly.

Highly proactive with the ability to anticipate needs, identify potential issues, and solve problems independently.

Excellent verbal and written communication skills with the ability to communicate professionally with senior executives, investors, board members, partners, and internal stakeholders.

Strong judgment, discretion, and professionalism when handling confidential or sensitive information.

Exceptional organizational and time-management skills with strong attention to detail.

Ability to work independently, take ownership of responsibilities, and operate effectively without extensive supervision.

Strong problem-solving skills and the ability to remain calm and resourceful when handling unexpected changes or last-minute requests.

Ability to work onsite in Tribeca, New York, NY, five days per week.

Ability to remain flexible with working hours and provide availability outside of standard business hours when required by the CEO's schedule.
