Our Client is seeking an Executive Assistant with Minimum  7+ years of experience to serve as the right hand to the Managing Partner at a fast-growing affordable housing law firm.

This is a highly hands-on role combining traditional executive support with significant personal assistant responsibilities. The ideal candidate will be tech-savvy, highly organized, personable, and comfortable managing both professional and personal matters with a high degree of discretion.

The successful candidate will also have a tech-forward mindset, with an interest in using AI and modern productivity tools to streamline workflows, solve organizational challenges, and improve efficiency across the firm. This role offers meaningful opportunity for growth into broader operations or Chief of Staff responsibilities over time.

Key Responsibilities

Executive Support
  • Manage and triage the Managing Partner's inbox, including prioritizing messages and drafting correspondence as needed.
  • Manage the Managing Partner's complex calendar and meeting schedule.
  • Coordinate all aspects of domestic and international business and personal travel, including bookings, itineraries, transportation, and related logistics.
  • Prepare and organize information needed for meetings, appointments, and other commitments.
  • Serve as a trusted liaison between the Managing Partner and internal teams, external contacts, and service providers.
  • Maintain strict confidentiality regarding personal, financial, professional, and firm-related information.

Personal Assistant Support
  • Provide hands-on support for a range of personal and day-to-day matters.
  • Coordinate personal appointments, errands, gifts, and other personal logistics.
  • Research, select, purchase, and coordinate gifts as needed.
  • Assist with personal and business expense management and financial administration.
  • Liaise with the Managing Partner's outside personal and professional service providers.
  • Remain reasonably responsive and available to the Managing Partner outside standard on-site hours when necessary.

Technology & Workflow Optimization
  • Leverage AI tools and modern software to improve productivity and streamline recurring workflows.
  • Explore and implement tools such as Claude, Harvey AI, Asana, and other modern productivity or workflow solutions.
  • Identify organizational inefficiencies and develop creative technology-enabled solutions.
  • Build practical workflows that reduce administrative friction and improve operational efficiency.
  • Support the firm's continued adoption of modern digital tools and processes.

Office & Administrative Operations
  • Handle day-to-day office management responsibilities across the firm's two office locations.
  • Order and maintain office supplies, groceries, and other workplace necessities.
  • Receive, organize, and coordinate incoming and outgoing packages and deliveries.
  • Manage office errands and administrative tasks that support smooth daily operations.
  • Retrieve lunch orders from the building's ground floor on a daily basis.
  • Support the COO/Director of Operations with broader office management and administrative projects.
  • Assist with additional operational initiatives as needed.

Required Qualifications
Experience
  • Minimum 7+ years of dedicated Executive Assistant experience, with experience supporting senior executives, partners, or comparable leadership.
  • Demonstrated experience providing personal assistant support in addition to traditional executive assistance.
  • Experience handling complex personal, financial, travel, and administrative matters with discretion.
  • Experience managing executive inboxes, calendars, travel, correspondence, and competing priorities.
  • Experience working in a demanding, fast-paced environment where responsiveness and attention to detail are critical.

Technical Skills
  • Proficiency with Microsoft Suite and modern productivity tools.
  • Experience using Asana or comparable project/workflow management platforms.
  • Strong experience with inbox triage, prioritization, and correspondence management.
  • Comfort learning and adopting new digital tools and technologies.
  • Interest or experience using AI tools to improve workflows and administrative efficiency.

Soft Skills
  • Highly organized with exceptional attention to detail.
  • Proactive and able to anticipate the needs of an executive.
  • Strong judgment and discretion when handling confidential personal and financial information.
  • Collaborative and personable approach to daily in-office interactions.
  • Strong written and verbal communication skills.

Work Availability
  • Must be able to work on-site 5 days per week in the Financial District, New York, NY.
  • Must be reasonably responsive and available to the Managing Partner outside standard on-site hours when required, generally between 5:00 a.m. and 11:00 p.m.

Dealbreaker
  • Ability and willingness to work on-site 5 days per week in the Financial District, New York, NY is required.
  • Candidates must have substantial Executive Assistant experience supporting senior executives or partners.
  • Candidates must be comfortable providing personal assistant support, including personal financial and day-to-day matters.

Preferred Qualifications
  • Experience utilizing AI tools such as Claude to streamline administrative workflows.
  • Experience with workflow automation or other modern productivity technologies.
  • Experience supporting a Managing Partner, law firm partner, founder, or other high-level executive.
  • Experience working in a high-growth professional services or technology-enabled environment.
  • Demonstrated ability to take on broader operational responsibilities beyond traditional executive assistance.

Ideal Candidate Profile

The ideal candidate is an experienced Executive Assistant who genuinely enjoys the EA career path and is comfortable serving as a trusted, hands-on partner to a senior executive.

This person should be equally comfortable managing a complex professional calendar and inbox, coordinating sophisticated travel, handling personal matters and financial administration, and taking care of practical day-to-day needs.

The successful candidate will also be modern and technology-forward. Rather than relying solely on traditional administrative processes, they should be excited to use AI, automation, project-management platforms, and other digital tools to solve problems and make the Managing Partner and firm more efficient.

The role is best suited to someone who is collaborative, personable, proactive, and willing to be highly hands-on in an office environment. There is an opportunity for the right individual to grow beyond traditional executive assistance into broader operations or Chief of Staff responsibilities.

Candidate Profile Considerations

Candidates may not be a strong fit if their background primarily reflects:
  • Traditional corporate Executive Assistant work without meaningful personal assistant responsibilities.
  • Limited or no experience handling personal matters, financial administration, or personal service providers.
  • A paper-heavy or highly traditional administrative approach without comfort using modern digital tools.
  • Limited experience with productivity platforms, workflow tools, or technology-enabled processes.
  • A preference for purely strategic responsibilities rather than hands-on execution and day-to-day support.
  • Inability or unwillingness to work on-site five days per week.
